- WELCOME TO DAYCARE SYSTEM

- SYSTEM REQUIREMENT AND PREPARATION
-
- An IBM PC-AT or compatible personal computer is required for
- DAYCARE. The computer requires a 640 KB DRAM for the MS-DOS
- operating system, a hard disk and a high density floppy diskette
- drive. The hard disk is designated as Drive C. Its free memory
- space should be at least 10 MB for normal operation. The hard disk
- should be formatted using DOS 3.0 or later versions and its utility
- programs should reside in the hard disk. When loading the program
- into the hard disk of your computer, a new subdirectory called
- DAYCARE
- will be created by the program supplied by the DAYCARE package.
- This subdirectory will hold all of the programs and database files.
- All indexed files which are needed for operation will also be in
- this subdirectory.

- Execute the following steps to load DOS and DAYCARE into your
- computer. If you already have DOS on your computer go directly to
- step [6], otherwise the DOS subdirectory required for the DOS
- utility programs may be created as follows:

- [1] Switch on the computer.
-
- [2] At the C:> prompt, enter the command MD DOS.
-
- [3] Now go to the newly created DOS subdirectory by typing the
- command: CD DOS. The C:> will change to C:\DOS>.
-
- [4] Insert the DOS diskette into Drive A
-
- [5] Now enter the command COPY A:*.*.
-
- All of the DOS utility programs will be copied into the DOS
- subdirectory on the hard disk. Please note that the program to
- park the head of the hard disk (PARK.COM) should also reside in the
- DOS subdirectory. Consult your computer dealer to obtain such a
- program.

- After the DOS subdirectory has been created and the files
- copied into it, follow these steps to load DAYCARE system onto your
- hard disk:

- [6] At the C:\> prompt type CD\. C:\DOS> will change back to C:>.
-
- [7] Insert a 3 1/2" diskette into Drive B and at the C:> prompt,
- type B:INSTALL or insert a 5 1/4" diskette into Drive A and
- type A:INSTALL.

- The program 'INSTALL' will create a new subdirectory
- DAYCARE and copy into it all the DAYCARE programs and the required
- database files.
-
- After the copying and indexing operation, you should remove
- the diskette from Drive B or Drive A and store it in a safe place.
- DAYCARE system is now ready for operation.

- Warning: If you run the INSTALL program again after you have
- loaded the DAYCARE programs and have entered data, the
- existing database files will be erased from the hard
- disk.

- To ensure normal operation of DAYCARE, the free space
- available on the hard disk will be checked every time you turn on
- the computer. A warning message will be displayed when the total
- free space on the hard disk is less than 6 MB (megabytes). When
- this happens we suggest that unnecessary files outside the DAYCARE
- subdirectory be deleted.

- To start DAYCARE from DOS, type CD\DAYCARE. At the DAYCARE
- directory prompt (ie. DAYCARE>), type DAYCARE.

- The first screen will list some precautions and give a brief
- introduction. Follow the instructions. Enter C to continue. Enter
- the correct date when prompted: If the date is correct, press
- <ENTER>. Press O to continue to the next screen or <ENTER> to
- correct date.

- The main menu for DAYCARE will appear. Highlight your choice with
- the cursor keys. Press <ENTER>. Descriptions of the various options
- and the operations they perform are given below.

- 1 > Will allow you to enter the name and address of your
- daycare centre and also a password.
- 2 > Will allow you to maintain parent files. Will allow you
- to print mailing labels for parents singly or
- collectively.
- 3 > Will allow you to maintain child files.
- 4 > Will allow you to handle incoming parent payments and
- outstanding amounts. Will allow you to print statements
- for payments received and invoices.

- 5 > Will allow you to modify income from sources other than
- parents.
- 6 Will allow you to print overdue notices for parents with
- outstanding balances.

- 7, 8, 11 > Will allow you to maintain expense, memoranda and
- employee files.
- 9 > Will allow you to print T4-slips for parents.
- 10 > Will allow you to add and delete child files from
- the waiting list.
- 12 > Will allow you to change the password.
- 13 > Will allow you to trace and list children with
- subsidies. Will also allow you to enter the
- government subsidies as they arrive from the
- government.
- 14 > Will print an order form.
- 15 > Will allow you to reindex or back up files.
- Some Important Tips and Suggestions:

- 1. The daycare center address should be entered first before any
- other operation is performed. The password should be entered
- second.
-
- 2. Parent information must be entered in the system before a
- child's information can be introduced.
-
- 3. Before a parent's file can be deleted from the system, the
- child's file must be removed.
-
- 4. If a parent has two or more children enrolled in the daycare
- centre and decides to retire a child, the parent will still be
- listed as a current parent until all his/her children have
- been cleared from the system.

- 5. DAYCARE will not allow you to retire a child if the child's
- parents have an amount outstanding. Therefore, before you try
- to delete a child's file, you may wish to select "Income From
- Parent" in the main program menu to update the parent payment
- files.
-
- 6. If a child does not have allergies, do not enter anything
- beside 'allergies.' Otherwise, the package will assume the
- child has allergies for summary purposes.
-
- 7. "Tempra" is used to reduce fever in babies and toddlers. If
- the parents give authorization, its use is permitted in some
- daycare centres.
-
- 8. T-4 slips are for Child Care Income Tax Expense Claims.
-
- 9. Subsidy is the amount the government agrees to pay the daycare
- centre for a child whose parents' income is limited.
-
- 10. Daily charge is the amount owed the daycare when the subsidy
- is deducted. For example, if the cost of care per day is
- $12.00 and the government agrees to pay a subsidy of $2.00,
- the Daily charge you should enter is $10.00.

- 11. Breakfast: Some daycare centres furnish breakfast. Breakfast
- is not included in the daily charge. It is extra. Ditto for
- bus (fare).

- 12. Total daily charge is the sum of the daily charge, breakfast
- and bus fare.

- 13. Outstanding amount: If 7 days a parent does not pay the daily
- charge in full, provision has been made to calculate and if
- desired, override the outstanding amount. If you do not wish
- to override the outstanding amount, simply press <ENTER>. If
- you wish to override the outstanding amount, enter the new
- amount. The system will prompt you for a reason which you must
- enter.

- 14. If you decide to print by fiscal year, you must cite as your
- starting month a month where there are payments.
-
- 15. To exit a Help screen and return to the previous screen, press
- 'ESC.' Press <RETURN> to exit a Help screen only when you wish
- to confirm information you have selected or to go to the next
- screen.
